This policy explains what the Smrt English app for iPhone, iPad and Android collects, why, who can see it, and how to delete your account. The app is provided by Smrt English ("we", "us"). Schools use it with their students, teachers and school administrators.
The Smrt English website has its own website privacy policy.
Who this policy is for
Smrt English accounts are created by schools, not by the public. A school (or its teacher) adds its students and staff, and they then sign in to the app with the email address the school gave us. There is no public sign-up in the app.
The school decides who has an account and which classes and courses they take. For the school records described below, we act on the school's behalf.
Information we collect
Account information from your school. Your first and last name, email address, school, classes, role (student, teacher or school administrator) and, if the school uses one, its own student number. You can change your name in Profile.
Sign-in with Google or Microsoft. When you choose Log in with Google or Log in with Microsoft, the provider confirms your email address and sends us your name. We use the email address to find the account your school created. We never see or store your Google or Microsoft password. If your account uses a password instead, it is stored on our servers in hashed form.
Profile photo. Only if you add one. You choose it from your photo library in Profile; it is cropped to a square and stored on our servers. School administrators can also upload a school logo.
Your school work. Your answers to exercises and quizzes, your writing, your scores, and your teacher's marks and comments. Teachers' assignments, notes and marking are kept too.
Speaking recordings. Some questions ask you to record an answer. The app uses the microphone only while you are recording an answer, and only after you allow it. The recording is uploaded so your teacher can listen to it and mark it.
Offline copies. To let you work without a connection, the app keeps copies of your course text, lessons, exercises, pictures and audio on your device, along with answers you have not yet sent. These stay on your device. They are sent to us only when you hand in work, and they are removed when you sign out or choose Don't save in Profile.
Notification settings and device tokens. If you turn on notifications, your device gets a push token from Apple or Google, which we store with your account so we can send you notifications about new work, due dates, released answers and reviewed work (and, for teachers, join requests and work to review). We also store your notification choices and quiet hours. We stop using the token when you sign out or delete your account.
Diagnostics.
- Each request the app makes to our servers records the time, the address requested, the result, your IP address, and the app version and device type (iOS or Android).
- The app keeps a short list of recent failed requests (the addresses only) and recent errors on your device.
- If a screen crashes, the app sends us an error report with the screen name, app version, operating system and technical details of the error. Error reports do not contain names or answers. When you are signed in, the report is linked to your account number.
- If you use Report a problem in Profile, we receive your message, your account details, the app version, your device model, the recent failed requests and errors listed above, and how much work is waiting to be sent from your device. It reaches our support team as a support ticket, and we reply to your email address.
Analytics. We use Google Analytics for Firebase to understand how the app is used. It receives:
- The screens you open, and events such as signing in or out, joining a class, opening a lesson, handing in an exercise or quiz, assigning work, and reporting a problem.
- Your Smrt English account number (as the analytics user ID), your role, your school's number and whether you are signed in.
- A Firebase app instance ID and standard device information such as device model, operating system, app version and language.
Analytics does not receive your name, email address, answers, recordings or search text. The app does not use the advertising identifier (IDFA on iOS, the advertising ID on Android). Advertising storage and ad personalisation are switched off, and analytics data is not used to track you across other companies' apps or websites.
We do not collect your location, contacts, calendar, browsing history or payment information. The app shows no ads and has no in-app purchases.
How we use information
- To provide the service to your school: sign-in, classes, lessons, exercises, quizzes, marking, feedback and progress reports for teachers and school administrators.
- To send the notifications you have turned on.
- To answer support requests and fix problems.
- To keep the service secure, for example by limiting repeated sign-in attempts.
- To understand which features are used and to improve the app.
We do not sell personal information, and we do not use it for advertising.
Who can see your information
Your school. Your teachers and your school's administrators can see your account details, classes, work, scores, recordings and progress, as they can on the Smrt English website. Students in the same class can see each other's names and profile photos where the class features show them. Smrt English staff can see accounts to provide support.
Service providers. We use these companies to run the service. They process information for us and not for their own purposes:
- Google (Firebase and Google Analytics for Firebase): app analytics, and push notifications on Android.
- Apple (Apple Push Notification service): push notifications on iPhone and iPad.
- Amazon Web Services: our servers, database and server logs.
- DigitalOcean: storage for files such as profile photos, school logos and speaking recordings.
- Cloudflare: network security and delivery of our website and app traffic.
- Freshdesk: our support ticket system, for Report a problem messages and support email.
YouTube. Café videos play in an embedded YouTube player. When you play one, YouTube (Google) can collect information under its own privacy policy. We do not send YouTube your name or account details.
When the law requires it. We may disclose information if we are required to by law, such as to comply with a court order, or when we believe in good faith that it is needed to protect someone's safety or to investigate fraud.
Children
Schools use Smrt English with learners of all ages, including children. Our Kids and Children courses are for ages 6 to 9, so some students who use the app are under 13.
Children's accounts are created and managed by their school. The school is responsible for having the consent it needs from parents or guardians before it adds a child. We use children's information only to provide the service to the school, as described in this policy. We do not show ads, we do not sell children's information, and analytics runs without the advertising identifier for every user.
A parent or guardian who has questions about their child's information, or wants it changed or deleted, can contact the child's school or contact us.
Permissions the app asks for
- Notifications: to send the notifications described above. The app explains them first, and you can say no or change them in Profile or your device settings.
- Microphone: only to record answers to speaking questions.
- Photos: only to choose a profile photo (or, for school administrators, a school logo). The app does not take photos or videos.
- Network access: to connect to Smrt English, and to know when you are offline so it can save your work on the device.
Some of the libraries the app is built with also declare standard Android permissions, for example to keep the device awake briefly while sending analytics, to play audio, or to restore scheduled notifications after a restart. The app does not use these to collect any other information.
How long we keep information
We keep account information and school work while your account is active and your school uses Smrt English, because your school needs it for its classes and records. Offline copies on your device are removed when you sign out. Error reports and server logs are kept for a limited time and then deleted.
Deleting your account
You can delete your account in the app: open Profile and tap Delete account. You can also ask us to delete it without the app, as explained on our account deletion page.
When you delete your account:
- The account is closed straight away. You are signed out on every device and cannot sign in again with the app, the website, Google or Microsoft.
- Your school's records stay. Your name, email address, classes, work, scores and recordings remain part of your school's class records so your school can keep its grades and reports.
If you also want your personal information removed from your school's records, email us as described on the account deletion page. We will work with your school to delete what it does not need to keep.
Your choices and rights
- You can change your name and profile photo in Profile.
- You can turn notifications off, or change their types and quiet hours, in Profile or your device settings.
- You can choose not to save pictures and audio for offline use.
- You can ask to see, correct or delete your information by contacting your school or us. Depending on where you live, you may have other rights under local law.
Security
All connections between the app and our servers are encrypted (HTTPS). Sign-in tokens are kept in your device's secure storage (the Keychain on iPhone and iPad). Access to our systems is limited to the staff who need it.
Changes to this policy
We may update this policy when the app changes. We will post the new version on this page and change the date at the top. If a change is significant, we will also tell schools.
