Welcome to Smrt English. We prioritize your privacy. This policy explains the data we collect, how we use it, and with whom we share it. Visit us at smrtenglish.com.
The Smrt English app for iPhone, iPad and Android has its own app privacy policy.
Data Collection and Use
We collect various types of information to provide and improve our services. The types of data we collect include:
- Personal Identification Information: Includes Email, First Name, Last Name, and Profile Picture. This information is used for authentication, user identification, and to enhance user interaction within our app.
- User Image Data: We collect image data, specifically the users profile picture, to personalize the user experience. These images are stored securely and are shared only as necessary for the operation of our app or as required by law.
- How Answers Are Entered: To help protect the integrity of assignments and assessments, we record information about how answers to exercises, quizzes and exams are entered, such as time spent and whether text was typed or pasted. We record counts and times only, not keystrokes or what was copied. This is not recorded in courses for young children.
- Analytics Data: We use Google Analytics to understand how the website is used and to improve it. Signed-in pages load it through Google Tag Manager, and our public pages load it directly. Google Analytics sets cookies and receives usage data, such as the pages you visit, events such as signing in and out, your browser and device type, and your IP address, from which Google estimates an approximate location. When you are signed in, it also receives your Smrt English account number as the analytics user ID, and whether you are signed in. We do not send it your name or email address. We do not use Google Analytics data for advertising.
- Advertising: Smrt English does not show ads from other companies, on the website or in the app, and does not use your data for advertising.
Data Sharing and Disclosure
Your data is only shared with specific parties when necessary, as outlined below:
- Within the Platform: Data is shared with teachers and students within specific classes and is accessible to administrators.
- Your School: If your school created your account, your school's teachers and administrators can see your account details, classes, work and results.
- Service Providers: We do not sell personal data. We share it only with the companies that help us run the service. They process it for us and not for their own purposes:
- Google: sign-in with Google, Google Analytics and Google Tag Manager, and reCAPTCHA on our contact forms.
- Microsoft: sign-in with Microsoft.
- Amazon Web Services: our servers, database and server logs.
- DigitalOcean: storage for files such as profile pictures and uploaded work.
- Cloudflare: network security and delivery of our website.
- SendGrid: sending our emails, such as account and class emails.
- Freshdesk: our support chat and support ticket system.
- Google (Gemini API): AI writing and speaking feedback on students' written answers and recordings, where the school has switched them on.
- Stripe and Cielo: online payments, where a school's students pay for their course on the website. They handle your card details; we do not store card numbers.
- YouTube: Videos in lessons and in Café play in an embedded YouTube player. When you play one, YouTube (Google) can collect information under its own privacy policy. We do not send YouTube your name or account details.
AI Writing and Speaking Feedback
Where a school has switched on AI writing or speaking feedback, students' written answers or recorded spoken answers are marked automatically: the student receives a mark, corrections and a short comment (for a recording, also a transcript of what they said), and the teacher can change the mark or hide the feedback.
- What is sent: To mark an answer, we send the task, the student's answer (their writing, or the audio recording of their spoken answer) and the course level to Google's Gemini service. We do not send the student's name, email address or other account details. A recording contains the student's voice, and may contain anything they say in it.
- How it is used: Google processes the answer only to return the mark and feedback to us. Recordings are used only to transcribe and assess the answer, not to identify the speaker. It does not use this data to train its AI models, and it may keep it for a limited time to detect misuse.
- What we keep: The mark, feedback and any transcript are stored with the student's work in Smrt English and are visible to the student and their teachers, like other marks.
- Turning it off: AI marking is switched on school by school, with one setting that covers writing, speaking and short and long written answers. A school can ask us to switch it off, and teachers can turn it off for individual questions.
Secure Data Handling
We implement strong security measures to protect your data. This includes encryption, access control, secure software development practices, and regular security audits.
Data Retention and Deletion
We retain personal data only as long as necessary for the purposes set out in this policy. Account information and school work are kept while the account is active and the school uses Smrt English, because schools need them for their classes and records. Records of learning activity, such as when work was opened, handed in and marked and time spent on lessons, are kept for 3 years and then deleted. App notification history is kept for 1 year, and server and app request logs for 30 days.
Closing an account stops it from being used but leaves the school's class records in place. To have your personal information removed from those records as well, contact our Privacy Officer and your school; we will work with the school to delete what it does not need to keep.
